Refund Policy
Bharat Bhraman Holidays understands that travel plans may change due to unforeseen circumstances. This Refund & Cancellation Policy explains the applicable cancellation charges, refund conditions, amendments, and circumstances where refunds cannot be provided.
1. Booking & Payment Policy
- A 50% advance payment of the total package cost is required to confirm the booking.
- The remaining 50% shall be payable upon arrival at the first destination, unless otherwise agreed in writing.
- The token/advance amount is non-refundable.
- Booking confirmation is subject to availability of hotels, transportation, airlines, and other services included in the package.
- Rates are subject to change without prior notice until the booking is confirmed and the applicable payment is received.
- Accommodation will be provided at the hotels mentioned in the itinerary or at similar hotels, subject to availability.
- Base-category rooms will generally be provided unless a different room category is specifically mentioned in the booking confirmation.
2. Cancellation & Refund Policy
Cancellation requests must be submitted in writing to Bharat Bhraman Holidays. Cancellation charges will be calculated on the basis of the total package cost and the number of days remaining before the scheduled travel date.

Important Cancellation Conditions
- The applicable cancellation charge will be deducted from the amount paid by the customer.
- The token amount is non-refundable.
- Cancellations are considered valid only when communicated in writing.
- Once a booking falls within the 10-day period before the travel date, no refund will be provided.
- Where individual hotels, airlines, transport operators, activity providers, or other suppliers impose additional cancellation charges or non-refundable conditions, such charges may also apply.
- Refunds, where applicable, will be processed after deduction of the applicable cancellation charges and any non-refundable amounts imposed by service providers.
3. Amendment, Postponement & Preponement
If a customer wishes to prepone or postpone the travel package:
- The request must be submitted in writing at least 15 days before the original travel date.
- An amendment charge of INR 3,000 or 10% of the total package cost, whichever is higher, will apply.
- Any additional charges imposed by hotels, airlines, transport providers, or other service providers due to the change will be payable separately by the customer.
- Amendment requests are subject to availability and cannot be guaranteed.
4. Non-Refundable Services & Unused Services
No refund or exchange will be provided for any service that is unused, partially used, missed, or voluntarily declined by the customer, including but not limited to:
- Unused hotel accommodation
- Missed meals
- Unused transportation segments
- Missed sightseeing
- Unused activities or excursions
- Early departure from a hotel
- Delayed arrival or failure to report for a scheduled service
- Any other service included in the package but not utilized by the customer
5. Circumstances Beyond Our Control
Bharat Bhraman Holidays shall not be responsible for providing refunds for services that cannot be used due to circumstances beyond our reasonable control, including but not limited to:
- Bad weather
- Heavy snowfall
- Roadblocks
- Landslides
- Natural disasters
- Strikes
- Government restrictions
- Traffic restrictions
- Health-related circumstances
- Changes in government or local authority regulations
- Closure of tourist destinations
- Other unforeseen circumstances beyond the control of Bharat Bhraman Holidays or its service providers
Unused services arising from such circumstances shall generally be non-refundable and non-exchangeable, subject to any refund or credit actually received from the relevant service provider.
6. Rohtang Pass Travel Restrictions
Travel to Rohtang Pass is subject to applicable regulations, permits, environmental restrictions, and directions issued by competent authorities, including the National Green Tribunal (NGT), Supreme Court of India, or other government/local authorities.
If vehicles are prohibited or restricted from travelling to Rohtang Pass due to such regulations, Bharat Bhraman Holidays shall not be responsible for any resulting loss, cancellation, or refund.
If travel to Rohtang Pass is permitted but involves additional charges, permits, transportation costs, or other expenses, such expenses shall be borne by the guest.
7. Hotel-Related Refunds
- Room allocation is subject to availability and is generally completed by the hotel at the time of check-in.
- The room category will be provided according to the category specified in the booking confirmation/voucher.
- No refund shall ordinarily be claimed solely because the hotel’s services, facilities, room, food, or amenities do not meet the guest’s personal expectations.
- Genuine service-related complaints will be considered on a case-by-case basis, subject to the hotel’s policies and the circumstances of the complaint.
- The hotel reserves the right to refuse admission/check-in where permitted under its policies or applicable law.
8. Photo Identification
Guests must present a valid government-issued photo identification document at the time of hotel check-in.
PAN Card shall not be accepted as the required photo identification document where the hotel requires another valid government-issued ID.
The primary guest must be 18 years of age or older to check in, subject to the hotel’s applicable policies.
9. Festive & Mandatory Charges
Hotels may impose mandatory meal supplements or other additional charges during festive periods, including but not limited to:
- Christmas
- New Year’s Eve
- Diwali
- Dussehra
- Other festivals or special occasions
Such mandatory charges, if applicable, are payable by the guest and may need to be cleared directly at the hotel.
Food or milk required for infants or children below 5 years may also be charged separately by the hotel.
10. Rate Validity & Seasonal Pricing
Package rates may vary depending on the season, hotel availability, demand, and applicable special dates.
The following periods may be treated as applicable seasonal/special periods for rate purposes:
Season / Special Periods
- 15 April to 15 July
- Diwali
- Dussehra
- All weekends
Off-Season Periods
- 6 January to 15 April
- 16 July to 15 December
Rates and availability remain subject to confirmation at the time of booking.
11. Refund Processing
Where a refund is applicable:
- The cancellation request must first be received in writing.
- Applicable cancellation charges will be calculated.
- Non-refundable amounts and supplier-imposed charges will be deducted where applicable.
- The remaining eligible amount will be processed for refund.
- The refund will generally be made through the original payment method or another mutually agreed method.
- The actual refund amount may depend upon the amount refunded/released by hotels, airlines, transport operators, or other service providers.
12. Important Notice
Bharat Bhraman Holidays acts as a travel service provider/organizer and may depend on third-party service providers such as hotels, airlines, transport operators, activity providers, and other vendors.
Where a third-party supplier has a stricter cancellation or refund policy, the supplier’s applicable charges may be deducted from the customer’s refundable amount.
Customers are advised to carefully review the package inclusions, exclusions, cancellation terms, and applicable charges before making payment.
By making a booking or payment, the customer acknowledges and agrees to the applicable Booking Policy, Cancellation Policy, Refund Policy, and Terms & Conditions of Bharat Bhraman Holidays.
